Pilates, MMA and yoga studios run on batches. Most gym software does not.

Membership software counts members. A batch studio needs to count spots. Here is what batch classes really need, and what we are building for them.

A gym sells access. A studio sells a spot.

That one difference changes everything. A Pilates studio with eight reformers cannot sell a ninth place in the 7 PM batch. A martial arts academy runs the kids at 5 and the adults at 7, with different instructors and different people. A yoga studio’s Sunday morning fills up in a day while Tuesday afternoon sits half empty.

Most gym software was built for the first kind of business and asks the second kind to squeeze in.

How batches run today

If you run a studio, you probably know this routine. Bookings arrive in a group chat and get copied into a notebook or a spreadsheet. Someone cancels at the last minute and the spot stays empty, because by the time anyone reads the message it is too late to offer it to anyone else. Attendance is a tick on a printed list, when someone remembers to print it.

None of this is anyone’s fault. It is what happens when the tools do not match the business.

What batch classes actually need

Ask what a batch business needs and the list is short:

  • A schedule members can see, with how many spots are left in each batch.
  • Booking and cancelling from a phone, so the desk is not a switchboard.
  • A waitlist that works on its own. When someone cancels, the next person should be offered the spot right away, not whenever someone gets round to it.
  • Reminders before class, so fewer people forget.
  • Attendance that marks itself, because nobody should be ticking names at the door of a busy class.

What we are building

Batch classes are coming to QuantumOFit, and they are built to close the whole loop, not just to put a timetable online. Run fixed batches with the same faces every week, the way a yoga or MMA academy does, or open classes members book one session at a time, the way a Pilates or boxing studio does.

  • The door takes attendance. Checking in at the biometric door marks a member present in the right class, and a live board shows the desk who is booked, who is already in the building, who is at risk of missing it, and who is present.
  • The waitlist fills itself. A freed spot goes to the first person waiting by push, with a window to claim it, and a seat released at the last minute is offered first to waitlisted members already inside the building.
  • Reminders you choose, say the day before, an hour before and 15 minutes before, sent as push. Late-cancel and no-show rules are shown to members before they book.
  • Make-up classes for fixed batches, spot picking (reformer 3, bag 7), and substitute instructors who are paid for the classes they actually teach.
  • Belts and gradings for martial arts and kids, with eligibility counted from classes attended.
  • A free trial class that creates a lead on its own, and holidays that cancel their sessions and tell everyone booked.
  • Class-only and combined plans sold as memberships, class packs sold at the desk, a fill-rate heatmap, and what each batch earns against its instructor cost. Chains can let members book at any branch.

It is not live yet, and our website says so. We would rather tell you what is being built than sell you a demo of it.

What a studio can run on QuantumOFit today

Three things any studio can do this week

Software or not, these help every batch business:

  • Publish your cancellation rules where people book, not in a welcome message they read once. People keep rules they can see.
  • Keep your waitlist in the order people asked, and offer spots in that order. Fairness is what makes people join a waitlist at all.
  • Look honestly at your quietest batch. If it has been half empty for six weeks, merging it with a neighbouring batch usually does more for the studio than any promotion.
