Payday, prepared. For everyone on staff, not just trainers.

Salaries, PT commission, a bonus, a deduction, somebody who joined on the 14th. Month end at a gym is an hour of arithmetic that has to be right the first time. Here is how we shrink it.

The last three days of the month look the same in most gyms. Somebody opens a spreadsheet. Somebody else is asked how many sessions Rahul actually took. The reception staff member who joined on the 14th needs half a month calculated. A trainer is owed commission on a package that finished on the 29th. One number is wrong and it will be discovered on payday, by the person it was wrong for.

Most gym software stops at trainers. That is the wrong shape.

A gym is not staffed by trainers alone. There is reception, there are managers, there are cleaners and there is often somebody who does three of those jobs. They all get paid. Only some of them earn commission.

Three ways to count commission, and how to pick

There is no single correct answer to when a trainer has earned their money, so we give you three models and let you choose the one that matches how you actually think about it.

Per session

The trainer earns a share each time a session is delivered. Earnings trickle in through the month. This is our default because it is the only model that survives a trainer transfer cleanly. If somebody leaves halfway through a package, what they earned is already settled by what they actually did.

On package completion

Nothing is earned until the whole package is finished, then it lands in one piece. Simple to explain, and it gives the trainer a reason to see the package through. The trade-off is a lumpy payout month that can be hard on the trainer.

On payment

The trainer earns as the member pays. If a member is paying in instalments, the commission follows those instalments. This keeps your cash out matched to your cash in, which matters if you sell long packages on easy terms.

The settings that quietly decide everything

  • Payout day, from the 1st to the 31st, where 31 means the last day of the month and adjusts itself in February so you are not chasing a date that does not exist.
  • Whether a no-show still counts as a paid session. Set it once and stop arguing about it monthly.
  • Whether a basic salary gets prorated for somebody who joined mid month.
  • A flat TDS percentage that you set.
  • Whether payslips send themselves once approved, or wait for you.

Approve first, then send

Nothing goes out until you have looked at it. The run assembles itself, you review each payslip, you approve, and then a clean branded PDF goes to your staff member. Setup is a guided flow that takes a couple of minutes, not an afternoon with a consultant.

What this is not, stated plainly

We would rather lose a sale than be misunderstood on this, so here it is directly.

QuantumOFit works out what you owe and records what you have paid. Moving the money stays with you, through your own bank, exactly as it does today. Marking a payslip as paid is a record, not a transfer.

The TDS field is a flat percentage that you decide and we apply. It is not Indian statutory payroll. There is no PF, no ESI, no tax slabs and no Form 16. If you need statutory filing, you need a payroll specialist and an accountant, and we will happily sit alongside them. What we remove is the arithmetic and the arguments, not your accountant.
