Switching gym software? Bring your whole team with you.

Members are only half of a move. Staff, trainers, PT packages, PT clients and salaries are the half that usually gets typed in by hand. It does not have to be.

The real reason gyms stay on software they do not like is rarely the contract. It is the data. Years of members, plans and payments live in the old system or in a pile of spreadsheets, and moving it all sounds like a month of evenings.

Most software companies answer that with a member import. Upload your members, match your columns, done. It helps. It is also only half the move.

The half nobody talks about

A gym is not just its members. It is the receptionist who needs a login, the head trainer, the PT trainers with their own commission terms, the packages they sell, the members who are halfway through a PT package right now, and everybody’s salary. In most switches all of that is typed in by hand, one screen at a time, by the owner, at night.

There are two ways in. Fill in our template and there is nothing to match and no AI involved at all, because the system recognises the template’s layout exactly. Or upload the spreadsheet you already have, in whatever shape it is in, and AI works out which of your columns is which.

What the AI sees, and what it does not

This is the part worth being precise about. When AI reads your spreadsheet, it sees your column headers and a few sample rows, with names, phone numbers and emails masked: letters become x and digits become 9. It can tell a column holds phone numbers by their shape without ever reading a real one.

Everything that has to be exact is worked out by set rules, never guessed: dates, amounts, which trainer a client belongs to, and which package they are on.

Built for the messy middle

The hardest part of any gym to move is the member who is halfway through something. So the PT clients step asks for as little as possible: seven columns, matched on the member’s email and the trainer’s email, with the price, sessions and length taken from the package they are on.

If a row does not match any member, it is skipped and flagged, rather than creating a nameless account that suddenly holds a real balance.

You see everything before anything is saved

Every step shows you what is about to be created, and nothing is saved until you say so. At the end, new staff logins can be emailed to the people who have email, or downloaded as a file for the ones who do not. You can do both.
